Administrative Assistant for Director of Concert Activities

Base Wage: $8.25/hr. Work-study required.

Area: Administration

Supervisor: Director of Concert Hall

Functions: Excellent position to gain knowledge about the inner workings of a non-profit arts organization.

Hours: Approximately three hours two or three times per week during business hours. Schedule will be formulated on a quarterly basis with the Director.

Responsibilities

Public Contact:
Limited.

Specific Responsibilities:

  1. Create and send contracts to artists for concerts and festivals.
  2. Assist director on varied projects including radio series programming and concert attendance tracking.
  3. Help with the organization of live concert broadcasting.
  4. Other related duties as assigned.

Qualifications:

  1. Experience with Macintosh computers helpful, including Microsoft Word and Excel.
  2. Ability to work independently.
  3. Organizational skills.
  4. Mature person who can be discreet with sensitive information.

 

 

Administrative Assistant for Marketing Department

Base Wage: $8.25/hr. Work-study required.

Area: Marketing

Supervisor: Marketing Manager and Marketing Coordinator

Functions: Excellent entry-level position to gain experience and knowledge of general marketing/public relations principles. Advancement and promotion opportunities are available.

Hours: Approximately one to two hours per day during business hours. Schedule is based upon student's availability and will be formulated on a quarterly basis with the supervisor.

Responsibilities:
1. Assist marketing manager and coordinator in varied projects including season series, office organization, correspondence, and budgets and planning.
2. Assist with implementation of marketing plans and projects.
3. Compile and analyze data, and create reports on a variety of subjects.
4. Maintain and analyze departmental budget data.
5. Data entry.
6. Filing of documents.
7. Other related duties as assigned.

Qualifications:
1. Experience with Macintosh computers helpful, including Microsoft Word and Excel.
2. Strong written and verbal communication skills.
3. Ability to work independently.
4. Strong writing and editing skills.
5. Organizational skills.

 

 

Audience Development: Outreach and Grassroots Specialist

Base Wage: $8.25/hr. Work-study required.

Area: Promotions/Public Relations

Supervisor: Marketing Coordinator

Functions: Develop and maintain educational outreach and grassroots audience development strategies. Promote Pick-Staiger and Bienen School of Music events to Chicagoland area schools and retail businesses and the Northwestern University community in an effort to create community relationships. Distribute Pick-Staiger and School of Music publications through mailings and a specified distribution route.

Hours: Approximately 5-8 hours per week.

Responsibilities

Overarching Responsibilities:

  1. Establish and maintain major public contact with teachers and administrators in area schools, day cares, and colleges over the phone, via letters and e-mails, and in person.
  2. Create and maintain relationships with the Chicago arts community.
  3. Distribute posters, flyers, and brochures around campus, downtown Evanston, and Chicago.

Specific Responsibilities:

  1. Create new promotions and/or programs and oversee existing outreach programs.
  2. Research, develop, and maintain a target list of student groups and other contact names. Research and contact potential audiences in the greater Chicago area.
  3. Copy and distribute in-house publications including "This Week" poster and flyers.
  4. Reproduce and distribute pitch letters, marketing posters, and flyers to targeted groups.
  5. Create and post public displays and banners.
  6. Reach out to potential audiences with social networking tools including Facebook and Twitter.
  7. Other duties as assigned.

Qualifications:

  1. Ability and desire to work independently with flexible hours.
  2. Arts administration and special event planning experience preferred.
  3. Strong communication and interpersonal skills necessary to establish contacts at appropriate organizations by telephone, through written communications, and in person.
  4. Familiarity with on-campus student organizations as well as off-campus high-traffic areas and popular student hang-outs.
  5. Initiative and enthusiasm very important in this position.

 

 

Copywriter

Base Wage: $8.25/hr. Work-study required.

Area: Marketing/Promotions/Journalism

Supervisor: Marketing Manager and Marketing Coordinator

Functions: Copywriting for Pick-Staiger and Bienen School of Music brochures, radio ads, public service announcements, and press releases. Excellent opportunity to use writing skills and to communicate to the public about music events.

Hours: Approximately 6-8 hours per week during regular business hours.

Responsibilities:

  1. Write and edit copy for all public materials, including print ads, brochures, Concertline, concert hotline, press releases, and radio spots.
  2. Responsible for proofreading and fact checking public materials.
  3. Keep all chronology files and public information up-to-date in Microsoft Word.
  4. Seeing writing assignments to completion over the course of a given day or week.
  5. Other related duties as assigned.

Qualifications:

  1. Must have knowledge of basic writing techniques, reporting experience, and/or copywriting experience.
  2. Must be able to meet deadlines.
  3. Accuracy and experience in proofreading and editing is critical.
  4. Knowledge of basic page layout principles helpful.
  5. Knowledge of and/or interest in music and the arts.

 

 

Graphic Designer

Base Wage: $8.25/hr. Work-study required.

Area: Marketing/Promotions

Supervisor: Marketing Manager and Marketing Coordinator

Functions: Creating professional quality concert hall publicity materials including posters, print advertisements, flyers, postcards, and web graphics.

Hours: Approximately 5-6 hours per week during regular business hours based on allowance. Schedule determined at start of each quarter. Includes Reading Week.

Responsibilities:

  1. Create concert hall promotional materials, including posters, ads, flyers, program inserts, and signage.
  2. Create and maintain professional image of concert hall.
  3. Work with rough copy and abstract concepts.
  4. Design and manipulate graphics, scanned images, and other visuals.
  5. Other related duties as assigned.

Qualifications:

  1. Must have page layout, design, and/or art background.
  2. Knowledge of Adobe Photoshop and InDesign.
  3. Strong attention to detail and editorial awareness during draft phases of assignments.
  4. Able to follow production schedule and meet deadlines.
  5. Must be able to utilize resources and work independently to create a design concept.
  6. Interest in the arts and music helpful.
  7. Portfolio or samples of projects and/or printed pieces.

 

 

Photographer

Base Wage: $8.50/hr. Work-study required.

Area: Marketing

Supervisor: Marketing Manager and Marketing Coordinator

Functions: Photographing Bienen School of Music concerts and events using a high quality Canon EOS 10D camera. Camera also has a second 70-200 mm zoom lens. After shooting photos, photographer(s) will download and format them for print and archival use.

Hours: Concerts generally occur in the evenings and on weekends. Evening flexibility is a must for this position. Hours will be accrued both through daytime shifts (photo management responsibilities) and evening/weekend shifts (photographing assignments).

Responsibilities:

  1. Take high-quality photographs of concerts and artists during show times.
  2. Format and file photographs in the Pick-Staiger marketing database and our Fotki.com account.
  3. Manage photo database on Fotki.com and organize it for maximum usability and user-friendliness.
  4. Communicate with marketing staff to create a work schedule to which photographers are able to fully commit.

Qualifications:

  1. Proven experience in digital photography, Macintosh computers, and Photoshop.
  2. Dependability in this role is critical. Photographers are relied upon to take archive and print-quality photographs for use in university print magazines and marketing materials. These photographs will serve as the primary record of a given concert and it is crucial that photos are taken and then formatted in a timely manner.
  3. Ability to format, file, and store photographs using Photoshop and simple online-based photo database management software.
  4. Responsiveness to marketing department when they offer/assign photography opportunities throughout the quarter. Communication is also critical.
  5. Applicants with photography portfolios preferred.

 

 

Web Designer

Base Wage: $9.00/hr. Work-study required.

Area: Concert Administration and Marketing/Public Relations

Supervisors: Director of Concert Hall and Marketing Manager

Functions: Design, maintain, and update Pick-Staiger's website.

Hours: Approximately 5-7 hours per week, possibly at an off-site location. More hours may be required during initial event publication each quarter.

Responsibilities:

  1. Update Pick-Staiger's website weekly with current concert and facility information.
  2. Design/re-design website elements as needed.
  3. Design stand-alone e-blasts for guest artist and faculty performances.

Qualifications:

  1. Experience with editing/designing web content. HTML experience helpful, but not required.
  2. Copywriting and copyediting skills preferred.
  3. Familiarity/experience with Photoshop.
  4. Knowledge/experience with Drupal helpful, but training will be provided.
  5. Experience working with Constant Contact or other email marketing tools preferred.
